The Financial Sector
|
In the Accountancy
and Financial Sectors, the most common situation is filing A4 paper
containing client information. Usually files are accessed
regularly and need to keep the papers in order and protect
them. If this is not the case in your situation, for example,
you might be archiving the information, then please call us for advice.
There are two aspects to designing a filing system. Firstly
what is it that you are trying to file, and secondly what are the
storage limitations?

Filing
Paper (Transfer Files against Pocket Folders and Wallets)
In most cases we advise that paper should be punched and secured in a
file that makes sure that the pages stay in order and do not slip out
and get lost. These types of file are usually called Transfer
files or Clip files. Documents that can't be punched
are held
in punched plastic pockets, still held securely in the Transfer file.
As well as manufacturing the common spring-type
transfer file, Railex
manufacture files using the Easifile
and Polifile
fitting. These offer
significant advantages over traditional file fittings. For more

If you don't want to punch the paper then you should consider files to
take unpunched paper. These are split into:
Square
Cut Folders - a simple piece of
folded card. These are good for just a few sheets of paper and are best
when the papers are fixed to the folder by a tag in the top left hand
corner.
Pocket
Folders and Wallets - a file enclosed on three
edges, with or without a flap to keep the contents in. These are
available in many different qualities, styles and capacities.

Suspension
Files or Shelving - Matching your storage to the file or folder
Once you have selected the best file for your needs,
you should consider how you are going to store it. Storage is
used to provide a degree of security, but should allow the files to be
accessed easily. Files need to be supported to stop them
falling over and this is achieved by either using a suspension file
system or by using shelf dividers. Unless you have chosen
Lever Arch files or Expanding
Wallets, we always recommend the
suspension file system as it offers the most effective way of managing
your files. Unless you have the luxury of starting afresh,
you will probably already have one or more of the following:
Lateral Storage Cabinets or
Cupboards. If
the cabinets are fitted with rails for hanging lateral suspension
files, please click the Lateral
Suspension Files category to select the
best system for you. If the cabinets are fitted with shelves,
we can often manufacture hanging rails to convert your system,
otherwise please treat as Plain Shelving below.
Four Drawer
Cabinets and other drawer units. These usually
have bars for hanging vertical drawer
suspension files, either front-to-back or sometimes left-to-right.

Plain Shelving.
This can be a rack, fitted
to the wall, or simply a cupboard full of shelves. To stop
the files falling over you need to contact your storage supplier to
find out
what type of shelf dividers will be appropriate.
